How we work

We work as a team to guarantee optimal care and continuity through our cooperation. In the absence of your regular doctor, we allow file-sharing so that one of the collegues can always help you .

We work by appointment only

If we are fully booked when you try to make an  online appointment , you can always call us on the same day for an urgent consultation.

To discuss laboratory results, imaging results or specialists’ reports, it is best to make a follow-up appointment, unless this has been otherwise agreed with your doctor.

The GMD (Global Medical File) indicates which general practitioner’s practice is responsible for your file/dossier.  It contains all your medical data.  It allows for better guidance and consultation between doctors. You must apply for this and it can be renewed annually.  It is completely free of charge for the patient.  It allows for a 30% higher reimbursement of the consultations of each doctor in the GMD managing practice.

Preferably make an appointment via our website.  Please ALWAYS include your email address, to receive a confirmation from us by email and to be able to manage or cancel your appointment.  Call the practice if you do not receive confirmation.

Out of respect for the doctor and other patients, please inform us at least four hours in advance of your appointment if you are unable to keep it.

If you have a medical question for several people, please make one appointment per person.

If you expect to need more than 15 minutes (e.g. minor surgery, life insurance examination), book two consecutive appointments or call the doctor.

Also for completion of documents or certificates you need to make an appointment, as this requires access to the file or possibly a number of questions requiring discussion with you.

When booking an appointment, you can mention the reason for the consultation under ‘Comments’. If you want a video or a telephone consultation (teleconsultation), you can also mention this here.

Always bring your ID card.  For children: Kids-ID or ISI+ card.  Mention any important changes (change of address, new email address, new telephone number, etc.) at the beginning of the consultation.

Agree with your doctor when and how you can get the results of a lab test, an X-ray or a referral. We would like to encourage you to register on Helena via Helena.care because this offers advantages both for you and for us (see ‘My file’ ).

All doctors have signed a convention with the Belgian Health Authorities and therefore follow the official RIZIV/INAMI rates. For the majority of patients, only the patient fee is charged. This is 30% higher if your GMD is not registered in our practice. Payment is preferably by Bancontact or Payconiq.

There are a number of parking spaces the side of the practice.

In front of the practice there is a parking facility for disabled patients.

In exceptional cases, when the parking spaces  are all occupied, you can park in the brasserie SAR car park opposite, but only when the brasserie is closed (Mondays, Tuesdays and Wednesdays all day, Thursdays and Fridays up until 11.00 am).

From Spring 2022 on, a maximum of four video consultations and four teleconsultations per year per patient and per doctor are reimbursed.  These are exceptional contacts between doctor and patient in case it is impossible to come to the practice.  For the video consultations, you must register on Helena (see ‘My File’).

If you would like a video consultation or a teleconsultation, please make a note of this under ‘comments’ when booking an appointment.

If possible, home visits should be requested before 10.00 am.

We encourage you to come to the practice for a consultation whenever possible, as we have many more facilities available to us in the examination room than in a visit to your home.

If one of the doctors is present in the practice, you can always reach us by phone.

If you press the pre-selection button 1, one of the doctors will answer.  If you press 2, you can choose a specific doctor with whom you would like to be connected.

If you want to speak to a specific doctor by phone, please call during his/her consultation hours (see appointments).  Dr. De Vos has fixed call times for this as well.

If we cannot be reached by phone, the phone will be transferred to a phone secretary, who will pass on your message.

In the evening and in the weekend the phone will be forwarded to the on-call doctor service (tel 1733).

Always ask for sufficient repeat prescriptions until the next consultation.  Plan timely follow-up appointments and do not wait until you have no more medication left.  Prescriptions are not given over the phone.

If in exceptional cases a prescription or document is made available, agree with the relevant practitioner how and when it can be picked up.

We work almost exclusively with electronic prescriptions.  This is very safe and convenient.  You can pick up the prescriptions using the patient’s e-ID (or Kids-ID or ISI+ card) at a pharmacy of your choice.  Since each prescription is registered separately, each medication can also be picked up separately from the pharmacy.

You can check which prescriptions you still have, how many you still have and what the expiration date is at www.mijngezondheid.belgie.be , Helena or via the app Voorschriftopzak on your smartphone.

Via the website www.mijngezondheid.belgie.be   you can reserve open prescriptions at a pharmacy of your choice.

The General Data Protection Regulation

GP ROOI places great importance on the protection of your personal data and we process this personal data with immense care and attention to its security.  Personal data is any data that allows you to be identified as a person.  GP ROOI adheres to the legal provisions surrounding the protection of personal data and the rights you have as a patient (including the new European Regulation and the Patient Rights Act). The personal and health data are processed by Huisartsen ROOI , Leuvensebaan 253 in St. Agatha Rode and are only processed for the purpose for which they were collected and only for as long as this is necessary.

PURPOSE of date processing

Personal data is processed by us for the purpose of providing good healthcare, both towards prevention and diagnosis and treatment (GDPR Article 9.1.f). We comply with the legal obligations imposed on us as a healthcare provider (GDPR Article 6.1.c), and are subject to professional secrecy (or duty of confidentiality) (GDPR Article 9.3). Some personal data may be further used for the financial processing of your consultation.

For accounting processing, no further immediately identifiable data are used for accounting purposes. Certain data are also requested for scientific research. Some of this collaborations for scientific research is done within the framework of legal obligations and within the framework of public health.

In certain cases, (future) collaborators also have (limited) access to certain personal data, for example when making appointments. The purpose of this processing is to facilitate the smooth running of the practice and to give the doctor enough time to devote to the patients (GDPR Article 6.1.f). These collaborators are also obliged to maintain confidentiality, and have no more access to your data than is strictly necessary for the performance of their duties.  All health care providers at GP ROOI are also bound by professional secrecy, and also have access only to those data necessary to perform their part of the care.

Your medical file must be kept for 30 years according to the legal provisions.  Other information that does not belong to your medical file will be kept according to the time limits established by law or no longer than is necessary to fulfill the purpose of the processing .

Data Sharing:

The data we process from you is only shared in the context of your health care with other physicians or health care providers with whom you have a treatment relationship or otherwise shared in an anonymized form. Information is only shared which is necessary for your treatment by another health care provider.

If you have given your informed consent, this information will be made available to other health care providers in a secure digital format.  Only if you enter into a treatment relationship with these care providers will they also have effective access to your data.

Within the framework of legal obligations such as reimbursement of supplied assistance by insurance institutions, certain data are also shared with your own health insurance fund, or for non-insured patients supported by  Social Welfare Services , with your own Public Social Welfare Centre (OCMW).

Data may also be processed to assist in scientific research.  All processing is done by organizations that have the correct authorizations and permissions to process these data.  Data are aggregated and all measures are taken so that they cannot be traced back to individual persons.

Your rights as a patient:

You have the right to access your own personal data.  You can request, inspect, correct and, if necessary, change them.  In certain cases, you can also request that the processing of the data be temporarily restricted.  These requests can only be refused if they pose a serious threat to your health.  A request to delete personal data or restrict their processing can only be made if there are no legal obligations regarding the processing and retention periods of these data. Requests to review your file can be directed to your doctor.  If you have questions or complaints, you can always contact your doctor or care provider.

If you suspect a breach in the processing of your personal data and your doctor or care provider cannot provide a decisive answer, you have the option of submitting a complaint to the Data Protection Authority.
